Medical Office Assistant 

Our behavioral health practice provides psychiatry and therapeutic services to individuals and families in Cobb County and surrounding areas. We are seeking a motivated and organized Office Assistant to support the smooth daily operations of our growing psychiatry clinic. This role is critical in ensuring quality patient care, office efficiency, and compliance with regulatory standards.

Responsibilities:

• Assist with all aspects of office operations, including appointment scheduling, verifying insurance eligibility, patient check-in/out, collect co-pays, and remaining balances.
• Collaborate with billing service providers to ensure accurate insurance claims processing and collections.
• Assist with developing and updating clinic policies and procedures to enhance efficiency and patient care quality.
• Maintain compliance with HIPAA, OSHA, and other federal/state healthcare regulations.
• Work directly with physicians and healthcare staff to support high-quality psychiatric and behavioral care delivery.
• Manage the prior authorization process for prescribed treatments and medications.
• Liaise with external vendors on behalf of the practice in coordination with the Medical Director.
• Address and resolve patient concerns to maintain a high level of satisfaction and professionalism.
• Provide Transcranial Magnetic Stimulation (TMS) services as a Treater in accordance with established protocols.
• Monitor and document patients receiving Spravato (esketamine) treatment to ensure patient safety and compliance.
• Perform a minimum of 10 NeuroStar Trackstar client follow-up calls per day to maintain patient engagement and care continuity.
• Perform all other duties as assigned by the Medical Director.

Qualifications:

• High school diploma, GED, or associate degree required.
• Minimum of one year of experience in a medical or behavioral health office (preferred).
• Bilingual abilities are a plus.
