Job Description

The Payroll & Accounting Specialist is responsible for performing payroll processing and supporting general accounting functions, including reconciliations, journal entries, and financial reporting. This position ensures accuracy, compliance, and efficiency in both payroll and accounting operations while contributing to process improvements and compliance.

Key Responsibilities:

Payroll (50%):

  • Process full-cycle payroll on a weekly, bi-weekly, or monthly basis, ensuring timely and accurate compensation.
  • Maintain and update payroll records, including new hires, terminations, benefits, and deductions.
  • Ensure compliance with all federal, state, and local tax regulations, including filings and year-end reporting (W-2s).
  • Coordinate with HR to verify employee status and benefit enrollments.
  • Respond to employee inquiries regarding payroll, timekeeping, and withholdings.
  • Assist with payroll system updates, audits, and data accuracy checks.


Accounting (50%):

  • Prepare and post journal entries related to payroll and routine accounting transactions.
  • Assist with general ledger maintenance and month-end closing activities.
  • Reconcile payroll and benefits-related accounts.
  • Support accounts payable and accounts receivable functions as needed.
  • Maintain accurate financial records and assist with audit preparation and documentation.
  • Help identify opportunities for improving accounting and payroll processes.


Performance Expectations:

  • Provide high-quality service with frequent employee interaction; customer service orientation is essential.
  • Demonstrate urgency in addressing payroll-related matters to ensure timely and accurate transactions.
  • Maintain strong attention to detail and accuracy to prevent payroll and accounting errors.

Qualifications

  • Education: Associate’s or Bachelor’s degree in Accounting, Finance, or a related field.
  • Experience: Minimum 2 years of experience in payroll and general accounting.
  • Required Knowledge, Skills, and Abilities: Proficiency in payroll systems and accounting software (ADP strongly preferred). Solid knowledge of payroll regulations and basic accounting principles. Strong attention to detail, accuracy, and time management skills. Effective communication and problem-solving abilities.
